Scanned documents often have uneven brightnesstoo dark (with shadows or faded text) or too bright (with washed-out details)making them hard to read or edit. Brightness adjustment fixes this, with options ranging from built-in scanner tools to post-scan software edits. The process works for all scanner types (flatbed, ADF, all-in-one printers) and is critical for documents like old photos, contracts, or receipts.

1. Adjust brightness during scanning (preferred method)

Most printer scanners let you set brightness before scanningensures the final file is optimized, saving time on post-edits:

Use printer scanner software: Open the manufacturers software (e.g., HP Smart, Canon IJ Scan Utility, Epson Scan 2). Select Scanand navigate to Settingsor Image Adjustments.

Find brightness controls: Look for a Brightnessslider (usually ranging from -50 to +50, where -50 is darker and +50 is brighter) or presets like Auto Brightness,” “Dark Document,or Light Document.

Set the right level:

Dark documents (e.g., old receipts with faded text): Increase brightness to +10 to +20this lightens shadows without washing out text. Avoid over-adjusting (+30+), which removes fine details like small print.

Bright documents (e.g., photos scanned in direct light): Decrease brightness to -10 to -15this reduces glare and restores color depth.

Auto Brightness: Use this for mixed-brightness documents (e.g., a page with both dark text and light graphics)the software analyzes the scan and adjusts brightness automatically. Test it firstsometimes it overcorrects (e.g., making light text too dark).

Preview and scan: Use the Previewfunction to see the effect of brightness adjustments before scanning. If the preview looks balanced (text is readable, no harsh shadows), start the scan.

2. Post-scan brightness adjustment (for existing scans)

If you already have a scanned file with poor brightness, use software to edit itoptions range from free tools to professional software:

Free built-in tools:

Windows Photos (Windows): Open the scanned image, click Edit & Create> Edit, then select Adjustments.Use the Brightnessslider to tweakpreview in real time and click Save a copy(to avoid overwriting the original).

Preview (macOS): Open the scan, click the Markuptool (pen icon), then select the Adjust Colortool (sliders icon). Move the Brightnessslideruse the Previewcheckbox to see changes. Save with File> Save.

Google Drive: Upload the scan to Google Drive, right-click it, and select Open with> Google Photos.Click the Editicon, select Adjustments, and use the Brightnessslider. Save changes to the Drive file.

Free advanced tools:

GIMP: Open the scan, go to Colors> Brightness-Contrast.Adjust the BrightnesssliderGIMP shows a live preview. For uneven brightness (e.g., a scan with a dark corner), use the Heal Toolto fix shadows before adjusting overall brightness.

Paint.NET (Windows): Open the image, go to Adjustments> Brightness/Contrast.Move the Brightnessslideruse the Previewbutton to check. Paint.NET also has a Levelstool (under Adjustments) for precise brightness control (ideal for scans with extreme darkness/brightness).

Professional tools:

Adobe Photoshop: Use the Brightness/Contrastadjustment layer (non-destructive, so you can edit later) or the Curvestool (for precise control over specific brightness ranges). For example, Curveslets you brighten dark text without affecting already bright areas.

Adobe Acrobat Pro (for PDFs): Open the scanned PDF, go to Tools> Edit PDF.Select the image, click Adjustments, and use the Brightnessslider. This is ideal for scanned PDF documents (e.g., contracts) where you need to keep the file in PDF format.

3. Tips for optimal brightness

Preserve the original: Always save edited scans as new files (e.g., Receipt_Scanned_Bright.pdfinstead of overwriting Receipt_Scanned.pdf)this lets you revert if adjustments are incorrect.

Match use case: For text documents (e.g., invoices), aim for bright enough text to be readable by OCR (Optical Character Recognition) softwaretoo dark, and OCR misses words; too bright, and text blends with the background.

Test with small sections: For large scans (e.g., a multi-page book), adjust brightness on one page first, print a test copy, and verify before editing the entire document. This saves time and ensures consistency.
